Role and Responsibilities:
General day to day upkeep and maintenance
- Ensure that health and safety standards are maintained, with respect to all three properties;
- Ensure that Embassy physical security arrangements are functioning and well maintained, in line with the Embassy Security Plan;
- Responsibility for in-house event spaces and facilities set-up and de-rig for busy schedule of official events (currently over 100 per annum) carried out in accordance with Embassy specifications, which often involve atypical hours;
- Assistance with preparation for the move from the current Citizen Services Office and Chancery premises to the new Ireland House building, including project co-ordination, support and logistical arrangements relating to material and service transfers, assisting with premises inventory and the procurement of certain key services;
- Operational and logistical support with the transition to the new premises, including engaging with removal/delivery companies, snagging, obsolescence, and assisting with drawing up operational manuals and notices for staff;
- Establish and maintain relationships with a range of stakeholders including the new building property management team, existing/new suppliers and staff of the Embassy and state agencies[
- Act as key point of contact for wide range of stakeholders, including the above to assist with remedying property and event related s issues should they arise;
- Assist with developing and drawing up new health and safety, security and other procedures which may be required in line with Departmental policies and procedures and any regulatory or contractual obligations;
- Maintenance and inventory of all event furniture and equipment required for room/event set-ups;
- Troubleshoot and resolve any issues which may arise in relation to in-house events or meetings (includes requirement for out of hours attendance at short notice); ;
- Act as nominated keyholder/point of contact in the event of an emergency situation, which may necessitate working outside of normal office hours;
- Any other tasks required to ensure both the provision of high quality customer service and the achievement of the Embassy's goals.
Essential requirements:
- Be a fluent English speaker;
- Have a minimum of 2 years' experience and proven track record in building maintenance and facility management;
- Have broad experience in the logistical aspects of event management;
- Familiarity with UK building, fire, health and safety regulations;
- Demonstrate ability to communicate effectively and efficiently;
- Be a good team player, with an ability to prioritise tasks, independently assess situations and appropriately respond to building related issues as they arise;
- Be self-motivated, proactive and able to work unsupervised where necessary;
- Able to meet tight deadlines and work on several tasks at one time;
- A high level of discretion, commitment and reliability;
- A clean and up-to-date driving licence would be an advantage;
- The successful candidate must have a legal entitlement to live and work in the UK.
